Why Excel's "Get Data From PDF" Fails on Bank Statements

Excel has a built-in PDF importer. Here's the specific reason it struggles with bank statements, and what to do instead.

Excel 2019 and later can import PDFs directly: Data → Get Data → From File → From PDF. It's free, it's built in, and on bank statements it usually disappoints. The reason is worth understanding, because it explains what any converter has to do differently.

Power Query looks for grids

Under the hood, Excel's importer uses Power Query's table detection, which identifies tables primarily by their ruling lines — it looks for a closed rectangular grid and treats the cells inside it as data.

Most banks don't draw one. Some draw vertical column separators but no horizontal row lines. Others draw a box around the table with nothing inside. Many draw nothing at all and rely purely on whitespace alignment, which is invisible to a line-detection algorithm.

With no grid to find, Power Query falls back to treating the page as unstructured text, and you get a single column containing everything.

Even when Power Query does find a table, it doesn't know what it's looking at. It has no concept of:

What to try before giving up on it

  1. Check the preview pane The import dialog lists every table and page it found. If your transactions appear under a Table entry rather than a Page entry, you're in luck.
  2. Try the Page view instead of the Table view Sometimes the page-level extraction preserves more structure than the detected table.
  3. Use Split Column by whitespace If everything landed in one column, splitting by consecutive spaces can recover the columns on simple layouts.
  4. Verify the totals afterwards Whatever comes out, sum the debits and credits and compare against the statement's printed totals before using the file.
