Convert an Axis Bank Statement PDF to Excel

Axis Bank statements convert well once you know what to strip out. The table structure is usually clean; the noise is in the description field.

The description field carries a lot of freight

A typical Axis UPI row looks something like `UPI/P2A/512345678901/JOHN DOE/HDFC/000000/`. Only part of that is useful to a human reading a spreadsheet. The trailing `000000` is a placeholder, the mode prefixes repeat on every row, and the reference number is already available in its own column.

There is a practical reason to clean this rather than leave it raw: a long reference number sitting in a description field is a landmine for any tool that later tries to parse amounts out of that text. Twelve-digit reference numbers look a lot like amounts.

Nothing is stripped out of the description, which is deliberate: the text in the spreadsheet is the text on the PDF, so a search on either finds the same row. If your accounting software wants a real date and a signed amount instead, the QBO and Tally XML downloads carry both.

Axis summary blocks are not transactions

Axis statements open with an account summary carrying the opening balance, total debits, total credits and closing balance. Those lines sit close to the transaction table and contain amounts, so converters that pattern-match on any row with a number in it pull them in as transactions.

They are genuinely valuable, but as verification data rather than as transactions. Read them, keep them out of the transaction list, and use them to check the rows that were extracted.

Verifying the result

Two checks, and both matter. Walk the balance chain from the opening balance through every transaction to confirm the amounts were read correctly. Then compare your debit and credit sums against the printed totals to confirm nothing is missing — a file can chain perfectly and still be missing an entire page.

Will the original description be preserved?

Yes, exactly as Axis printed it. Nothing is cleaned or shortened, so the padding and mode prefixes stay in, and a formula can pull out the part you want.

Why do some descriptions look longer than a line on the PDF?

Axis wraps a long narration onto two or three lines. Those lines are one transaction, so they are joined back into one cell rather than split into rows of their own. Nothing is added or removed.

Does it handle Axis current account statements?

Yes. Current accounts tend to be longer and busier, but the layout is the same family and converts identically.
