Convert an ICICI Bank Statement to Excel or CSV

ICICI statement PDFs: the MODE column, deposits printed before withdrawals, long particulars, and how to check the Excel output before you use it.

ICICI Bank statements are, on the whole, well-behaved. They carry a proper text layer and the columns are consistently placed, which makes them a good candidate for clean automated conversion — with three things worth knowing first.

The columns: MODE, and deposits before withdrawals

In the ICICI savings statement we checked, the transaction table reads DATE, MODE, PARTICULARS, DEPOSITS, WITHDRAWALS, BALANCE, with dates as DD-MM-YYYY. Two things in that line trip converters up.

There is a MODE column between the date and the particulars, which a template expecting date-then-description reads as the description. And DEPOSITS comes before WITHDRAWALS — the reverse of HDFC, SBI, Axis and most other Indian banks. A tool that assumes the usual order puts every deposit in the withdrawal column, and the totals come out mirrored.

The balance is what exposes it: each BALANCE only follows from the one above if money in is added and money out subtracted, so a swapped pair of columns fails on the first row instead of passing quietly.

Long particulars

ICICI packs a lot into the PARTICULARS field. A single UPI payment can carry the payer's handle, a reference number and a bank code, all in one string, and it wraps across several visual lines inside one logical row.

Converters that treat every visual line as a new transaction will turn a 200-row statement into 500 rows, most of them fragments with no date or amount. The correct behaviour is to treat a line with no date as a continuation of the row above it and merge it back.

Summary tables are not transactions

ICICI prints account summary tables near the transactions — account balances, linked fixed-deposit balances and their totals. These lines have amounts in them, so naive converters pull them in as transactions and the totals inflate.

They are kept out of the transaction list. What lands in the spreadsheet is the transaction table, under its own headings.

An example in ICICI's layout

A made-up example. Every row below is invented — SAMPLE names, round amounts — and set out the way the ICICI statement we checked sets out its table: the same six headings, in the same order, deposits before withdrawals, dates as DD-MM-YYYY and amounts in Indian digit grouping. The second transaction's particulars wrap onto a second line.

What the Excel or CSV gives back. The same six headings in ICICI's order — DEPOSITS still before WITHDRAWALS, nothing swapped into a template — every figure exactly as printed, lakh commas included, and the wrapped line joined back into its particulars.

A Completeness sheet beside the table checks every row against the BALANCE ICICI printed, and the statement's own totals where it prints them. The QBO and Tally XML downloads are the exception, and deliberately: those formats need a real date and one signed amount per transaction, so that is what they carry.

Converting and checking an ICICI statement

  1. Download the statement from ICICI internet banking Rather than a screenshot from iMobile.
  2. Supply the password if the file is protected ICICI's rule for an emailed statement is the first four letters of the account title in lowercase, then your day and month of birth as DDMM — or the 12-digit account number.
  3. Upload and convert Continuation lines are merged and summary tables kept out of the transaction list.
  4. Read the Completeness sheet Every row is checked against the printed BALANCE, so columns read the wrong way round, or a dropped row, show up as a named row that disagrees. Then sum DEPOSITS and WITHDRAWALS and compare them with any totals ICICI printed.

Using the particulars

ICICI particulars group reliably on the counterparty, which makes a lookup table practical for categorisation. UPI counterparty handles in particular are stable — the same merchant uses the same VPA every time, so a SEARCH on the VPA finds it inside the full text.

Excluding transfers to your own accounts before totalling spend matters here as much as anywhere. On an account used alongside a savings account, those movements can be the largest debits in the file and represent no expenditure at all.

Frequently asked questions

Does it work with ICICI credit card statements?

Yes, though the layout differs — there is no running balance, so verification compares against the printed total instead.

Can I get the output as CSV instead of Excel?

Yes — CSV, Excel (.xlsx) and JSON are all available from the same conversion.

Are multi-account ICICI statements supported?

They convert, but no Account column is added: the table comes through as ICICI printed it. Where one PDF covers several accounts, split the rows where each account's section starts before totalling anything.
