Convert a Bank of India Statement to Excel
Bank of India statement layout, the transaction particulars column, and running the checks that prove your export is complete.
Bank of India statements use a Particulars column that carries considerably more than a payee name, and unpacking it is the main opportunity for a better export.
What is inside Particulars
A single Particulars entry can contain the transaction channel, an instrument number, a counterparty name, a branch code and a narrative field entered by whoever initiated the transfer. It is effectively five fields concatenated into one.
The converted file keeps Particulars as one column, exactly as printed, so it still matches the PDF. Left that way it is hard to group, so split what you need out of it with formulas, and you can answer questions like how much moved by NEFT this quarter, or which counterparty accounts for most of the outflow.
| Fragment | What it is |
|---|---|
| NEFT / RTGS / UPI / ATM / CHQ | Channel — worth its own column |
| Numeric block, 6–16 digits | Instrument or reference number |
| Name in caps | Counterparty |
| Branch or IFSC-like code | Originating or destination branch |
| Free text | Narrative entered by the sender |
The reference number hazard
That numeric block is worth extracting for a defensive reason as much as an analytical one. A 16-digit reference sitting in a text field is a number that any downstream tool might try to parse as currency.
The rule that prevents it: ten or more digits with no decimal separator is a reference, never an amount. Applied consistently, it eliminates an entire category of silent corruption.
Verification
Bank of India prints opening and closing balances plus period totals. Compare your extracted debit and credit sums against the printed figures, and walk the balance chain from opening to closing. Both checks, every time.
Analysing by channel
Add a channel column — a formula that looks for NEFT, RTGS, UPI, ATM or CHQ in Particulars — and a pivot shows how money actually moves through the account: how much by NEFT, by UPI, by cash, by cheque.
For a business account this is one of the more revealing views. A high cash proportion attracts attention from lenders and auditors, and knowing the figure before someone else calculates it is worth the few minutes.
Verifying
- Check for rows with no date Summary lines carry amounts but no transaction date.
- Compare debit and credit totals separately Against the printed period figures.
- Walk the chain From opening to closing balance.
- Confirm dates fall inside the period Catching any DD/MM misreading.
Frequently asked questions
Is the full Particulars text preserved?
Yes, whole and exactly as printed. Nothing is split out of it, which is why the formulas above are the way to get a channel column.
How do I see the split between cash and electronic transactions?
Add a channel column from Particulars with a formula, then pivot on it. It is a common question from lenders and auditors, and worth knowing in advance.
Does this work with BOI Star Connect exports?
Yes — internet banking and branch statements use the same layout family.
