Convert a Union Bank of India Statement to Excel

Union Bank of India prints one Amount column marked (Dr) or (Cr), newest first. What that looks like in Excel, and how to check a long statement.

Union Bank of India statements are laid out differently from most Indian banks, and they are often long. Both matter when you convert one.

The layout: one Amount column, newest first

In the Union Bank statement we checked, the table reads S.No, Date, Transaction Id, Remarks, Amount(Rs.), Balance(Rs.), with dates as DD/MM/YYYY. Three things about it trip converters up.

None of this is rearranged in the spreadsheet. The Amount column stays one column with its markers, the rows stay newest first, and the heading appears once at the top.

What the Excel or CSV gives back. The same table: the same six headings in the same order, the rows still newest first, and every figure exactly as printed, marker included. Read it bottom to top and each balance follows from the one below it — 5000.00 plus the 10000.00 (Cr) is 15000.00, less the 250.00 (Dr) is 14750.00 — which is how the Completeness sheet checks it.

Want it oldest first? Sort by S.No, largest to smallest. Nothing else needs changing. If your software wants separate debit and credit columns or signed amounts, the QBO and Tally XML downloads turn each marker into a debit or a credit.

Converting and checking a long statement

The serious risk on a long statement is not extra rows but missing ones. A transaction that straddles a page break is easy for a converter to drop, and the rows either side still chain correctly against each other — so the balance alone does not show the gap. Only the statement's own figures do.

  1. Download the full PDF and upload it whole Do not split it into chunks first — page boundaries are exactly where transactions get lost. Pages are stitched into one continuous list.
  2. Read the Completeness sheet Every row is checked against the Balance(Rs.) printed beside it, reading in the statement's own newest-first order, along with page totals and the statement's own totals wherever it prints them. A row that disagrees is named.
  3. Check the row count The last S.No is the number of transactions Union Bank printed. The spreadsheet should have that many rows — the fastest way to catch a dropped page.
  4. Check for blank rows A row with no date and no amount is a repeated heading that was not filtered. There should be none.

A statement of a few hundred pages becomes several thousand rows, which you cannot review by eye. The checks are the assurance; after that, a pivot on month and remarks gives you a picture in seconds that would take hours to assemble by reading.

Frequently asked questions

My Union Bank statement is hundreds of pages. Will that work?

Yes. Long statements are processed page by page and stitched together, and the checks against the statement's own figures confirm nothing was lost across the boundaries.

Why does my spreadsheet start with the latest transaction?

Because the statement does. Union Bank prints the newest transaction first, and the rows are kept in printed order. Sort by S.No, largest first, for oldest first.

Why is there one Amount column instead of Debit and Credit?

Because Union Bank prints one, with (Dr) or (Cr) beside each figure. Splitting it would create columns the statement never printed; the markers stay, and the checks read them.

Does it handle the older Andhra Bank and Corporation Bank layouts?

The reader works from the table on each page rather than a fixed template, so an older layout is read the same way, under its own headings. The Completeness sheet tells you whether yours came out right.
