Convert a Canara Bank Statement to Excel or CSV
Canara Bank prints two layouts: one with a value date and cheque number, one with deposits first. What each gives you in Excel, and how to check it.
Canara Bank statements do not all look alike. The Canara statements we checked come in two layouts, and a converter built for one gets the other wrong.
Two Canara layouts

Layout B is the one that catches converters out. It prints Deposits before Withdrawals — the reverse of layout A's Debit, Credit and of most Indian banks — so a tool that assumes money out comes first puts every deposit in the wrong column. And it has only one date, so anything expecting a value date beside it reads the particulars as one.
Neither is renamed or reordered in the spreadsheet. Whichever layout yours is, you get its own headings in its own order, each cell exactly as printed.
The value date is not the transaction date
Layout A prints both a transaction date and a value date. They can differ — a cheque deposited on the 3rd may carry a value date of the 5th, because that is when the funds became available. Interest is calculated on value date; reconciliation against a cash book usually uses transaction date. Both columns are kept, so you do not have to choose at conversion time.
An example in Canara's layout B
A made-up example. Every row below is invented — SAMPLE names, round amounts — and set out the way the layout B statement we checked sets out its table: the same five headings, in the same order, deposits first, dates as DD-MM-YYYY. The second transaction's particulars wrap onto a second line.

What the Excel or CSV gives back. The same five headings in the same order — Deposits still before Withdrawals — every figure exactly as printed, and the wrapped line joined back into its particulars, so three transactions stay three rows.

Converting and checking a Canara statement
- Download the PDF from Canara net banking Rather than a passbook scan, which needs OCR.
- Upload the whole file Every column the layout prints is captured, both date columns and the cheque number included where it has them.
- Read the Completeness sheet Every row is checked against the Balance Canara printed beside it. A layout B file read with its columns swapped fails on the first row, which is the point: it cannot pass quietly.
- Compare the totals Sum the money in and money out columns and compare them with the printed period figures, which catches a dropped row the balance alone can miss.
Cheque reconciliation
In layout A, the cheque number column is what makes reconciliation against an issued-cheque register practical. Two checks are worth running: that every cleared cheque matches one you issued, and that gaps in your issued sequence are accounted for as outstanding.
A long-outstanding cheque is worth chasing — it may have been lost, and after a period it becomes stale and will not clear at all.
Frequently asked questions
Which date should I use for accounting?
Generally transaction date for reconciliation and value date for interest. A layout A statement prints both and both are exported; a layout B statement prints one date only.
How do I find outstanding cheques?
Compare your issued-cheque register against the cleared cheque numbers in the export. Anything issued but not cleared is outstanding. This needs a layout A statement, which prints the cheque number.
Why are Deposits before Withdrawals in my spreadsheet?
Because your statement prints them in that order. Nothing is reordered, so the spreadsheet matches the PDF column for column.
