Convert an HSBC Statement PDF to Excel
HSBC statements vary by country and carry a balance column that only updates on some rows. Here's how to convert one correctly.
HSBC is a genuinely global bank, and its statement layouts differ substantially between the UK, Hong Kong, UAE and India. A converter tuned to the UK layout will not do well on a Hong Kong one.
The sparse balance column
The HSBC quirk worth knowing about is that the balance column is often only populated on the last transaction of each day, not on every row. Intermediate rows leave it blank.
This is fine once you expect it, but it breaks naive verification. Checking that every row's balance follows from the previous row's fails immediately, because most rows have no balance at all. The correct check is per-day: the last balance of each day should equal the previous day's closing balance, adjusted by that day's debits and credits.
Regional date formats
HSBC UK uses DD/MM/YYYY. HSBC Hong Kong frequently uses DD MMM YYYY with an abbreviated month. Some statements use two-digit years. All three need handling, and guessing wrong silently reorders your entire file.
Converting an HSBC statement
- Download the statement from online banking Not a screenshot, and not a print-to-PDF, both of which can lose the text layer.
- Note which region the account is in It affects both the date format and the column layout, and it is worth a glance at the PDF before you start.
- Upload and convert Layout is detected per file rather than assumed from the bank name, so a Hong Kong statement converts as well as a UK one.
- Check the balance per day, not per row Because HSBC often prints the balance only on the last transaction of each day, day-level checking is the meaningful test.

A Completeness sheet beside the table checks the rows against the balances HSBC did print and against the statement's own totals, and names any row that disagrees. The QBO and Xero CSV downloads are where dates are rewritten, because those formats need one fixed date shape; check one date below the 13th after importing either.
Can you download it as CSV or Excel from HSBC UK?
For HSBC UK, yes — from the transaction list rather than the statement. HSBC UK's help says digital statements download as PDF, and that Excel (xls) and CSV are available by logging on, choosing the account, using Search and filter to set the date range, then Download at the foot of the list (checked October 2026). That export is a list of transactions, not the statement itself. The converter is for the statement PDF: one you already have, one from another HSBC region, or one with the printed totals you want the rows checked against.
The date-format trap on HSBC statements
This deserves its own warning, because HSBC spans regions with genuinely different conventions. A UK statement dated 03/04/2026 means 3 April. Read with US conventions it becomes 4 March, and nothing about the resulting spreadsheet looks wrong.
The reliable approach is to infer the convention from the whole file rather than row by row. If any date in the statement has a first component above 12, the format is settled and applies to every row in the file.

Why are some balance cells empty in my export?

Does it handle HSBC credit card statements?
Yes, though there is no running balance to chain, so verification compares against the printed totals.
What about multi-currency HSBC accounts?
Each currency's rows come through as HSBC printed them, but no currency column is added. Split the rows where each currency's section starts before totalling anything, or you will be adding pounds to dollars.
