Convert a Kotak Mahindra Bank Statement to Excel

Kotak prints withdrawals and deposits in one column, each figure marked (Dr) or (Cr). How that breaks converters, and how to read and check it.

Kotak Mahindra statements have one structural quirk that causes more conversion failures than anything else about them, and it is worth understanding before you convert one.

The combined amount column

Most banks print two separate columns — one for withdrawals, one for deposits. In the Kotak statement we checked, the table reads Date, Narration, Chq/Ref No, Withdrawal(Dr)/Deposit(Cr), Balance: one amount column, with (Dr) or (Cr) written straight after each figure, as in 1,000.00(Dr). The Balance carries a marker too.

A converter that expects two columns will map this one column to whichever of debit or credit it happens to match first, and every transaction in your file ends up on the same side. Your totals become meaningless and the balance chain fails on the second row.

The correct handling is to read the marker on each amount: it is the only thing that says which way the money moved. Where a marker is missing, the running balance settles it: if the balance went down, it was a debit.

The combined column is not split, because splitting it would be a column Kotak never printed. The markers are what the checks read instead: a Completeness sheet beside the table tests every row against the balance printed next to it, so a marker read the wrong way round shows up as that row disagreeing. If you need separate signed amounts, the QBO and Tally XML downloads turn each marker into a debit or a credit.

Verifying the markers

The balance column is what proves the (Dr) and (Cr) markers were read correctly. Walk it from the opening balance: previous balance minus a (Dr) figure, or plus a (Cr) one, should equal each row's printed balance — 30,000.00 less 200.00 is 29,800.00 in the example above. If a credit was taken for a debit, the chain breaks at exactly that row.

Then compare your debit and credit sums against any totals Kotak prints. The chain proves the markers were read right; the totals prove nothing is missing. More on why both are needed in balance-chain reconciliation.

Converting a Kotak statement

  1. Download the statement from Kotak net banking If the file is password-protected, the covering email or the download page states the rule.
  2. Upload the whole file Including any summary carrying opening and closing balances.
  3. Check the markers came through Every figure in the combined column should still carry the (Dr) or (Cr) Kotak printed. That marker is what tells a withdrawal from a deposit.
  4. Walk the chain Which confirms every marker was read the right way round. The Completeness sheet does this row by row.

Kotak UPI narrations

Kotak packs the payment mode, a reference and the counterparty VPA into one narration field, with placeholder padding on many rows. The converted file keeps that narration exactly as printed, so it still matches the PDF when you search it.

To group on the counterparty, pull the VPA out with a formula rather than reading the whole string. Keep the reference as text when you do: a twelve-digit number is a candidate for being misread as currency by whatever tool reads the file next.
