Convert a NatWest Statement PDF to Excel
NatWest statement structure, the multi-line SEPA and international payment descriptions, and verifying a converted file.
NatWest statements convert reliably. The one behaviour that causes trouble is how international and SEPA payments are described.
International payment descriptions run long
A domestic NatWest transaction has a short description that fits on one line. An international payment carries the beneficiary name, their IBAN, the intermediary bank, a reference and often a purpose code — easily three or four lines on the page.
Only the first line carries the date and the amount. The rest are continuation lines and must be merged back rather than emitted as their own rows.
Why IBANs need their own column
A UK IBAN is 22 characters; some European ones run to 31. The numeric portion is long enough that a naive amount parser can latch onto part of it.
The general rule that prevents this — reject any number of ten or more digits with no decimal separator as a reference rather than an amount — handles IBANs along with transaction references and account numbers.
Verifying
NatWest prints a running balance and period totals, so both checks are available. Walk the chain to confirm the amounts, compare the totals to confirm nothing is missing.
- Download the PDF statement from online banking Rather than a screenshot from the app.
- Upload and convert Continuation lines are merged automatically.
- Check the chain and the totals Both are available on a NatWest statement, so use both.
What the NatWest export contains
| In the file | What you get |
|---|---|
| NatWest's own columns | Every heading as printed, in the same order, type code included where NatWest prints one |
| Dates | Exactly as printed, with nothing reformatted |
| Descriptions | In full, IBAN and payment reference included, with the three or four lines of an international payment joined into one cell |
| Paid out and Paid in | Each figure in the column NatWest printed it in |
| A Completeness sheet | Every row checked against the printed running balance, and the statement's own totals where it prints them |
In the Excel file every cell is stored as text, so an IBAN or a long reference inside a description is never turned into a number. For Xero, the Xero CSV download writes Date, Amount, Payee, Description and Reference, with money out negative.
Business account considerations
NatWest business statements carry additional rows personal accounts do not: transaction charges, cash handling fees, and periodic account fees. These are small and numerous, and they are exactly the rows a converter is most likely to lose.
The consequence of losing them is a debit total short of the printed figure — which the totals check catches, and which nothing else will.
Frequently asked questions
Does this work for Royal Bank of Scotland?
Yes. RBS is part of the same group and uses a closely related layout, detected as its own format.
Are business account charges included?
Yes. Every row on the statement appears in the export — no amount threshold is applied.
Are IBANs preserved?
Yes, exactly where NatWest prints them, usually inside the description. Nothing is moved into an amount column, and the Excel file stores every cell as text, so a long IBAN is never read as a number.
