Convert an HSBC UK Statement to Excel
HSBC UK specifics: the sparse balance column, transaction type codes, and the verification approach that suits this layout.
This covers HSBC UK specifically. HSBC layouts differ substantially by region, and the UK format has its own characteristics — the general HSBC guide is here.
The balance is printed once per day
HSBC UK typically prints the running balance only against the last transaction of each day. Rows in the middle of a busy day leave it blank.
This breaks the standard per-row chain check immediately — most rows have no balance to check against. It does not mean verification is impossible; it means the check has to be done per day rather than per row.
Day-level chain verification
The check that works: take the closing balance of one day, apply all of the next day's debits and credits, and confirm you land on that day's printed closing balance. Repeat across the statement.
This is very nearly as strong as a per-row check. It will not tell you which of a day's five transactions is wrong, but it will tell you which day, which narrows a 300-row file to five rows.
Transaction type codes
| Code | Meaning |
|---|---|
| DD | Direct Debit |
| SO | Standing Order |
| VIS | Visa debit card transaction |
| ATM | Cash machine withdrawal |
| BP | Bill payment |
| CR | Credit — often salary or transfer in |
| TFR | Transfer |
Converting an HSBC UK statement
- Download the PDF from online banking Available per account for the last several years.
- Upload the whole file Including the summary carrying opening and closing balances.
- Expect gaps in the balance column They are how HSBC printed it, not a conversion fault.
- Verify at day level Each day's closing balance should follow from the previous day's, adjusted by that day's transactions.
Finding recurring commitments
The type column makes this straightforward. Filter to DD and SO rows and group by description, and you have the complete list of direct debits and standing orders on the account.
This is worth doing annually. It reliably surfaces subscriptions that are still running, insurance policies that auto-renewed at a higher premium, and memberships that are no longer used.
Frequently asked questions
Why does my balance column have gaps?
Because HSBC printed it that way. The balance appears against the last transaction of each day only. Verification works at day level instead of row level.
Can I still verify a statement with a sparse balance column?
Yes, at day level rather than row level. Each day's closing balance should follow from the previous day's plus that day's transactions.
Are HSBC UK business statements supported?
Yes, including the charges sections.
