Convert a Credit Union Statement to Excel
Credit union statements use share and share-draft terminology and often combine every account in one document. How to convert them cleanly.
Credit union statements differ from bank statements in vocabulary and in structure, and both differences affect conversion.
Share and share draft
Credit unions call savings accounts share accounts and checking accounts share draft accounts, reflecting that members are owners rather than customers. Some statements use these terms exclusively.
A converter that identifies account types by looking for the words "checking" and "savings" will not recognise either. The account section then gets treated as untyped, and the sign conventions may be applied wrongly.
| Credit union term | Bank equivalent |
|---|---|
| Share account | Savings account |
| Share draft account | Checking account |
| Share certificate | Certificate of deposit |
| Dividend | Interest |
| Member number | Customer number |
Everything in one document
Credit unions almost always issue a single combined statement covering every account a member holds — often including loans and credit cards alongside deposit accounts.
That makes an Account column essential rather than optional, and it means verification has to run per account. The converted file keeps the rows in printed order, so each account's rows stay together and the column is a fill-down from where each section starts. Loan sections also need recognising as loans, where a payment reduces the balance rather than increasing it.
Verifying
Per account, every time. Each section has its own beginning balance, transactions and ending balance, and they are independent chains.
Verifying a credit union statement
- Add an account column Fill it down from where each section starts before sorting. Combined statements are the norm at credit unions, so this is essential.
- Filter to one account And identify its type — share, share draft, loan or card.
- Apply the right convention for that type Loan and card sections invert the sign relative to deposit accounts.
- Check that section's own chain and totals Each is independent.
Why credit unions vary more than banks
There are thousands of credit unions, most of them running core banking software from one of a handful of vendors. That means statement layouts cluster by vendor rather than by institution.
A converter that maintains a list of supported institutions will never cover them all. One that detects structure from the file handles a small credit union it has never seen on the same basis as a large one.
Frequently asked questions
Does this work for any credit union?
Yes. Layouts are detected per file rather than matched against a list, which matters here because there are thousands of credit unions with many different statement vendors.
My credit union is tiny. Will its statements convert?
Yes. Layouts are detected from the file rather than matched against a list of institutions, which matters most for small issuers.
How are loan sections handled?
They come through as printed, like every other section. A payment reduces a loan balance rather than increasing it, so check a loan section's chain with the sign reversed rather than reading a failure there as a misread.
