How to Convert an HDFC Bank Statement PDF to Excel
HDFC statement PDFs draw column borders but no row borders, which breaks most converters. Why, and how to get a clean Excel file with balances intact.
HDFC Bank is one of the most requested formats we handle, and it is also one of the most misunderstood. If you have ever dropped an HDFC statement into a generic PDF-to-Excel tool and got back a single column of mashed-together text, the reason is specific and fixable.
Why HDFC statements break generic converters
Open an HDFC statement and it looks like a table. It isn't. HDFC draws vertical rules between columns but no horizontal rules between rows. Generic converters detect tables by looking for a closed grid of lines. With only half a grid present, they fall back to reading the page as loose text and every row runs together.
The fix is to stop looking for a grid at all. Columns can be inferred from the vertical rules that are there, and rows can be inferred from the vertical position of each text fragment — two fragments sitting at the same height belong to the same transaction. That single change is the difference between a usable file and a mess.
The balance column needs different treatment
There is a second HDFC quirk that catches people out. The running balance is often positioned slightly differently from the other numeric columns, and the strategy that reads the description column cleanly will frequently drop or misalign balances.
The practical answer is to extract the balance column separately and then stitch it back on by row position. It sounds fussy, but it matters: the balance column is what lets you verify the rest of the file is correct.
Converting your HDFC statement, step by step
- Download the original PDF from NetBanking Use the statement PDF from HDFC directly. Do not print to PDF, and do not screenshot it — both throw away the text layer and force slower, less accurate OCR.
- Have the password ready HDFC's NetBanking help says a statement downloaded from NetBanking opens with your Customer ID; an emailed statement states its rule in the email. You can upload the protected file and supply the password, or unlock it first.
- Upload it Drop the PDF into the converter below. Multi-page statements are fine — pages are stitched into one continuous transaction list.
- Press Verify transactions This is the step most people skip. The report under the preview tells you whether the extracted rows actually reconcile against the statement's own printed totals.
- Download as Excel, CSV or JSON The Excel file holds HDFC's table on one sheet and a Completeness sheet beside it, naming any row the statement's own arithmetic disagrees with.
What you get back
HDFC's own table, not a template. Whatever HDFC calls a column, the spreadsheet calls it too, in the same order, and each cell holds what HDFC printed in it.
| What HDFC prints | What the spreadsheet holds |
|---|---|
| Date and Value Dt | Both, exactly as printed in DD/MM/YY. Nothing is reformatted, so nothing can have been read the US way round |
| Narration | The full text, UPI reference strings included. A narration that wraps onto a second line is joined back into one cell |
| Chq./Ref.No. | Its own column, as HDFC prints it. The Excel file stores it as text, so a long reference stays whole instead of turning into 4.23E+15 |
| Withdrawal Amt. and Deposit Amt. | Two columns, each figure in the column HDFC put it in, commas and all |
| Closing Balance | Every figure, on its own row. It is what the check below runs against |
A Completeness sheet sits beside the table. It checks every row against the Closing Balance HDFC printed next to it, checks the statement's own totals where it prints them, and names any row that disagrees. If you need a real date and one signed amount per row, the QBO and Tally XML downloads carry exactly that, because those formats require it.
An example in HDFC's layout
A made-up example. Every row below is invented — SAMPLE names, round amounts — and set out the way an HDFC savings statement sets out its table: the same seven headings, in the same order, with dates as DD/MM/YY. The second transaction's narration wraps onto a second line, as long HDFC narrations do.
| Date | Narration | Chq./Ref.No. | Value Dt | Withdrawal Amt. | Deposit Amt. | Closing Balance |
|---|---|---|---|---|---|---|
| 01/04/25 | NEFT CR-SAMPLE EMPLOYER LTD-SALARY | 0000000000000001 | 01/04/25 | 50,000.00 | 60,000.00 | |
| 03/04/25 | UPI-SAMPLE STORE-SAMPLESTORE@UPI | 0000000000000002 | 03/04/25 | 1,250.00 | 58,750.00 | |
| PAYMENT FOR GROCERIES | ||||||
| 07/04/25 | ATW-SAMPLE ATM | 0000000000000003 | 07/04/25 | 5,000.00 | 53,750.00 |
What the Excel or CSV gives back. The same headings in the same order, every figure exactly as printed, and the wrapped line joined into its narration, so three transactions stay three rows. Each Closing Balance follows from the one above it — 60,000.00 less 1,250.00 is 58,750.00 — which is the check the Completeness sheet runs on every row.
| Date | Narration | Chq./Ref.No. | Value Dt | Withdrawal Amt. | Deposit Amt. | Closing Balance |

Can you download it as Excel from HDFC?
Yes, from NetBanking. HDFC's NetBanking help lists five download formats for an account statement — PDF, Excel, Text, Delimited and MSMoney — and says an emailed statement comes only as PDF (checked October 2026). If you can log in and the period is there, HDFC's own Excel download is the quickest route. The converter is for the PDF you already have: an emailed statement, or one a client sent you.
Verify before you trust it
Whatever tool you use, run one check before you rely on the numbers. Take the opening balance, subtract the debits, add the credits, and confirm you land on the closing balance printed on the statement. If it doesn't tie out, rows are missing or wrong — and a converter that doesn't tell you this is the dangerous kind.
We run that check automatically on every conversion, because a silently wrong spreadsheet is worse than an obvious failure: press Verify transactions under the preview to see the result, and the Excel download carries it on its Completeness sheet. There is more on this in how balance-chain reconciliation catches missing transactions.
Frequently asked questions
Can I convert a password-protected HDFC statement?
Yes. Supply the password when you upload; it is used only to open the file for the conversion and is never stored.
Does this work for HDFC credit card statements too?
Yes, though the layout differs from a savings or current account statement — credit card statements have no running balance column, so verification falls back to comparing against the printed total spend.
How many pages can I convert at once?
The free tier covers 3 pages a day without an account, or 5 pages a day once you sign in, resetting every day at 00:00 UTC (05:30 in India). Paid plans start at 200 pages a month. Every page of every PDF counts, so how many statements that covers depends on how long yours are.
Will the UPI reference numbers come through?
Yes, exactly as HDFC printed them, padding and all, in one cell per transaction. Nothing is stripped or shortened, so a reference you search for in the spreadsheet matches the one on the PDF.
