Convert an SBI Bank Statement to Excel Without Losing Rows

State Bank of India statements come in several layouts and run to hundreds of pages. How to convert one to Excel and confirm nothing was dropped.

State Bank of India is the largest bank in India, and its statements are the ones we see most often in bulk — landlords with a dozen accounts, accountants closing a client's year, people assembling three years of history for a home loan. They are also long: a year of a busy account runs to hundreds of pages.

SBI has more than one layout

SBI statements are not a single format. The SBI statements we have checked come in at least three layouts, and they differ in their headings, their date format and how they print an empty amount:

None of them writes a two-digit year. Whichever layout yours is, the spreadsheet keeps its headings and its dates exactly as printed. A converter built around one hard-coded SBI template works on the file it was built for and fails on the next; reading the headings from each file is what holds up.

What the Excel or CSV gives back. The same headings in the same order, every date and figure exactly as printed, and the wrapped line joined back into its description — three transactions, three rows. Each Balance follows from the one before it, which is what the Completeness sheet checks row by row.

Dates: where the format can still bite

A date written 8 Jul 2024 cannot be read the wrong way round, because the month is a word. Layout B's DD/MM/YYYY can: a program defaulting to US conventions reads 03/04/2024 as 4 March instead of 3 April, and every date up to the 12th of a month is ambiguous. Nothing in the Excel or CSV is reformatted, so this only bites when another program re-reads the dates — if yours does, check one date below the 13th after importing.

Converting and checking an SBI statement

Length is what makes SBI statements risky to convert. The failure is not garbled text but a converter that quietly drops a page and hands back a file that looks fine — and the rows either side of a missing block still chain correctly against each other, so the balance alone does not catch it. The statement's own figures do.

  1. Download the statement from internet banking A downloaded PDF carries a text layer. Phone screenshots force OCR and lose accuracy.
  2. Keep the whole file together Don't split a long statement into chunks before uploading — page boundaries are exactly where transactions get lost.
  3. Upload and wait for the check Long statements take longer, and the check is worth the extra seconds.
  4. Read the Completeness sheet, not just the row count It checks every row against the Balance SBI printed beside it, and the statement's own totals where it prints them. A row that disagrees is named.

Frequently asked questions

Can I convert an SBI passbook PDF?

Yes, though passbook scans are usually images and need OCR. Expect slightly lower accuracy than a native e-statement, and check the Completeness sheet carefully.

My SBI statement runs to hundreds of pages. Will that work?

Yes. Long statements are processed page by page and stitched together, and the checks against SBI's own figures confirm nothing was lost across page boundaries.

Which date format will my spreadsheet have?

The one your statement prints: 8 Jul 2024 in some SBI layouts, 08/07/2024 in others. Nothing is reformatted. The QBO, QFX and OFX downloads are where dates are rewritten, because those formats need one fixed form.
