Convert a U.S. Bank Statement PDF to Excel

U.S. Bank statement structure, the card-transaction section formatting, and the four-figure check that proves completeness.

U.S. Bank statements follow the standard American sectioned layout. The specific thing worth knowing is how their card transaction section is formatted.

Card transactions carry two dates

In the card purchases section, U.S. Bank prints both the transaction date and the posting date. They frequently differ by a day or two — a weekend purchase posts on Monday.

This matters more than it might seem. If you are reconciling against receipts or an expense system, you need the transaction date. If you are reconciling against the balance, you need the posting date, because that is the order the balance moves in.

A converter that keeps only one has made a choice for you that you may not want. Both should be exported as separate columns.

Merchant strings

U.S. Bank card descriptors include the merchant name, city, state and often a store number, wrapped across two lines. The second line has no date and no amount and must be joined onto the first.

Once merged, the merchant name is usually the first segment before the location, which makes it practical to split out for categorisation.

The four-figure check

U.S. Bank prints beginning balance, total deposits, total withdrawals and ending balance. Check all four rather than just the ending balance — offsetting errors cancel in the ending balance and show up immediately in the separate totals.

Getting one chronological table

US statements are typed sections rather than a single list, and what you almost always want is one date-sorted table with proper debit and credit columns.

That means detecting each section, keeping each row's direction, discarding the section's subtotal, and merging the result. In the U.S. Bank business statement we checked, the rows do carry a sign of a kind: a withdrawal is printed with a trailing minus, as in 125.00-, and a deposit with none. A reader that drops that trailing minus turns every withdrawal into a deposit.

What the Excel or CSV gives back. The same four headings in the same order, every amount exactly as printed — the trailing minus kept, not dropped or moved — and the merchant's second line joined back into its description, so three transactions stay three rows.

Excel reads 125.00- as text, not as a negative number. To total the column, put =IF(RIGHT(D2)="-",-VALUE(LEFT(D2,LEN(D2)-1)),VALUE(D2)) in a spare column and fill it down. Whatever you import into, check one withdrawal afterwards: if it arrived as money in, the trailing minus was lost on the way.

Can you download it as CSV from U.S. Bank?

For recent months, yes. U.S. Bank's help says online banking downloads transactions as Spreadsheet (.CSV), Quicken (.QFX) or QuickBooks (.QBO), up to 18 months back, from the download icon in the Transactions tile — on the full website only, not the mobile app — and that older transactions are on your statements (checked October 2026). Those older statements are what the converter is for.

Merchant categorisation

Once continuation lines are merged, U.S. Bank card descriptors follow a consistent shape: merchant name, then city, then state. The merchant name is the first segment, which makes it practical to split out.

With a clean merchant column, a lookup table of twenty or thirty fragments will categorise most rows on a typical account, because spending concentrates in a small number of recurring merchants.

Which date does the export use as the primary date?

The file does not choose: every date column U.S. Bank prints comes through exactly as printed. Sort by posting date when checking the balance chain; use transaction date against receipts.

Can I split the merchant from the location?

Yes. Once continuation lines are merged the descriptor follows a consistent merchant-city-state shape, so the merchant is the leading segment.
